When you run a small HVAC business, every subscription competes with a set of gauges or a month of truck payments. Most “best HVAC software” lists ignore that and compare enterprise platforms you’ll never need. This guide does the opposite: it looks at what the software would cost your business at 1, 3, 5 and 8 people, using only prices published on each vendor’s website as of October 19, 2026.

What a small HVAC business actually needs first

A small shop doesn’t need everything at once. In rough order of payback:

  1. Scheduling and a shared calendar. So the office (or your spouse, or you at 9 p.m.) can see who is where tomorrow, and customers get a reminder text.
  2. Quotes and invoices from the phone. Quote at the kitchen table, invoice before you leave the driveway and take a card payment on the spot. Cash flow is what kills small shops in the shoulder season.
  3. A price book. Even if it’s just your 30 most common repairs at fixed prices, it stops you underquoting at the end of a long day.
  4. Maintenance agreements. The fastest way to smooth out the slow months. Some platforms only include them in their top plan, so this decides your budget.
  5. QuickBooks sync. So your bookkeeper isn’t retyping invoices.

Everything else, from GPS fleet tracking to advanced reporting, can wait until you have more trucks.

What it really costs at your size

These are the monthly prices billed month to month, without promotions, from each official pricing page on October 19, 2026. Annual billing is cheaper; we note it below.

People who need a login Jobber Housecall Pro Kickserv Service Fusion
1 $49 (Core) $79 (Basic) $60 (Start) $245 (Starter)
3 $197 (Connect + 2 users) $189 (Essentials) $60 (Start) $245
5 $199 (Connect, 5 users) $189 (Essentials) $60 (Start) $245
8 $286 (Connect 5 + 3 users) $329 (Max) $119 (Run) $245

How we got these numbers:

  • Jobber: Core is single-user. Connect costs $139 for 1 user or $199 for 5 users, and extra users are $29/month each, so 3 users is $139 + 2 × $29 = $197, and 8 users is $199 + 3 × $29 = $286. Connect is the first plan with QuickBooks sync.
  • Housecall Pro: Essentials includes 5 users. Above that, the next plan is Max (8 users), and extra users on Max are $35/month.
  • Kickserv: Start includes 5 users, Run 10 users ($119) and Scale 20 users ($199).
  • Service Fusion: every plan has unlimited users.

Two warnings before you pick the cheapest column. First, these plans don’t include the same features: Kickserv’s low price says nothing about whether it handles maintenance agreements or flat rate for HVAC, so test that in the trial. Second, the subscription is only part of the cost. If customers pay by card through the app, the processing fees can be bigger than the subscription. Put both in our software cost per job calculator.

The options in detail

Housecall Pro: the most HVAC for the money

For a residential HVAC shop with 2 to 5 people, Housecall Pro Essentials ($189/month, or $149/month billed annually) is hard to beat on paper. According to its pricing page, Essentials includes the price book and consumer financing (already in Basic) plus flat-rate pricing and QuickBooks Online sync.

What you don’t get until Max ($329/month, or $299 billed annually) is recurring service plans. If you sell maintenance agreements, you’ll either manage them by hand on Essentials (recurring jobs plus a spreadsheet for renewals) or pay for Max.

Card payments are “as low as 2.59%” and bank payments 1%, per the pricing page. The trial is 14 days, with full access to Max, so you can see whether the service plans are worth the upgrade.

Jobber: the cheapest start for an owner-operator

If you are one person running service calls out of one van, Jobber Core at $49/month ($29/month billed annually) gets you quotes, scheduling, invoicing, online booking and card payments. Card processing is 2.9% + 30¢ online, 2.7% + 30¢ with Tap to Pay on your phone, and 1% for ACH bank payments.

The limits show up as you grow. Core is single-user, QuickBooks sync starts at Connect ($139/month for one user), and Jobber’s pricing page doesn’t list maintenance agreements, a flat-rate pricebook or equipment tracking. Jobber is a good general tool that many HVAC owners start with and some outgrow once agreements become a big part of the business.

Kickserv: lowest price for several people

Kickserv’s Start plan is $60/month with 5 users, with QuickBooks Online included and a 30-day trial, the longest in this list. Annual billing saves 20%. If you need logins for a few technicians and a part-time office person on a tight budget, nothing else here comes close on price.

The question is depth. Kickserv’s pricing page doesn’t detail HVAC-specific features such as service agreements, flat-rate price books or equipment records, so use the 30 days to test exactly those. QuickBooks Desktop costs an extra $50/month and is available from the Run plan.

Service Fusion: only once you have an office team

Service Fusion charges a flat $245/month (Starter, $208 billed annually) with unlimited users. For one or two people, that’s the most expensive option here. For a shop with five technicians, a dispatcher and an office manager, the flat price starts to compare well with per-user plans, especially as you keep hiring. There is no free trial, but onboarding is included and there is no contract.

What about ServiceTitan and FieldEdge?

Both are serious HVAC platforms, but neither publishes prices nor offers a free trial: ServiceTitan prices per technician on request, and FieldEdge’s pricing page states it doesn’t offer a free trial. For a small shop, that means sales calls, a contract negotiation and an implementation project. Worth it later, not usually now. Our main HVAC software guide covers both.

A simple plan for your first 90 days

  1. Week 1: start the Jobber and Housecall Pro trials (both 14 days, no card). Load your real customers from the last three months, not demo data.
  2. Week 2: run real jobs through the one you prefer: quote, schedule, invoice and take a payment. Note every moment you had to work around the app.
  3. Month 1–3: pay monthly, not annually. Build your price book with your 30 most common repairs, using the job quote calculator to check each price covers your costs and margin.
  4. Month 3: if you’re happy, switch to annual billing and save the difference. If you started selling maintenance agreements, check whether you now need the plan that includes them.

Who this guide is for (and who it isn’t)

For: residential HVAC businesses with 1 to 8 people who want published prices and a free trial before committing.

Not for: shops with a call center, several dispatchers and a large membership base. At that size, get quotes from ServiceTitan and FieldEdge.

The bottom line

For most small HVAC businesses, the real choice is between Housecall Pro (more HVAC features, better from 2–3 people) and Jobber (cheapest for one person). Kickserv is the budget option for several logins if its features fit, and Service Fusion makes sense once your office grows. Start on monthly billing, test with your own jobs, and check the current prices on each vendor’s site before you sign: the figures here come from the official pricing pages on October 19, 2026.

Frequently asked questions

How much should a small HVAC business spend on software?

There is no right number, but you can measure it: divide the monthly software cost (subscription plus card processing) by your jobs per month. Our software cost per job calculator does this for two plans side by side.

Is QuickBooks enough for a small HVAC business?

QuickBooks Online handles invoicing and accounting, but not scheduling, dispatch, a flat-rate price book or maintenance agreements. Most HVAC shops use a field service app for the field and sync it to QuickBooks for the books.

Should I pay monthly or annually?

Annual billing is cheaper (Jobber Core drops from $49 to $29 a month, Housecall Pro Essentials from $189 to $149), but you pay upfront and are committed for the year. Use the monthly plan during your first months, then switch once you are sure.

When should a small HVAC business move to ServiceTitan?

Usually not while it is small. ServiceTitan is priced per technician on request and has no free trial. It starts to make sense with several trucks, a dispatcher or call center and a membership program to manage.
